Planning media coverage for an exhibition or event

A practical checklist for planning booth coverage, key moments, deliverables, approvals and delivery dates.

Start with the purpose of your participation: introducing the organization, presenting products, documenting meetings, or creating content for later publication. The objective should guide the production scope.

Define the coverage Share the event name, city, dates, booth number and required coverage hours. Clarify whether the assignment covers the booth alone or also includes stage sessions, interviews and surrounding activities. Provide a schedule of key moments and an on-site coordinator.

Choose useful deliverables The scope may include selected photographs, a participation recap, short vertical videos or planned interviews. Specify where each asset will be published so framing and formats can be planned. Interview audio and a suitable recording location should be included in the brief.

Agree on approvals and delivery For content needed during the event, define quantities, approval times and the person authorized to review. The quotation should specify video lengths, photograph counts, formats, revision rounds and delivery method. Same-day delivery depends on the agreed scope and production schedule.

Send Brwaz your event details, approved brand assets, references and required delivery dates. The team will prepare a scope-based quotation. Contact info@brwaz.media or 0542821901.
